Workplace Operations Coordinator

Overview

Our client is seeking a Workplace Operations Coordinator to support the daily operations of its New York office. This role helps ensure the workplace runs smoothly by coordinating maintenance requests, managing vendor relationships, tracking invoices and records, and supporting office safety and compliance initiatives.

The ideal candidate is organized, detail-oriented, service-focused, and comfortable managing multiple priorities in a professional office environment.

Key Responsibilities

Office Operations Support

  • Manage facility service requests and work orders, ensuring issues are addressed promptly.
  • Process invoices and maintain accurate records related to facilities expenses.
  • Organize and maintain facilities documentation, contracts, and service records.
  • Conduct regular office walkthroughs to identify and address workplace issues.

Maintenance & Building Coordination

  • Track preventative maintenance schedules for office equipment and building systems.
  • Coordinate repairs and maintenance with vendors and building management.
  • Monitor maintenance records and assist with compliance requirements.
  • Support office inventory and equipment tracking.

Safety & Compliance

  • Maintain safety and emergency preparedness documentation.
  • Assist with scheduling inspections and maintaining compliance records.
  • Support security-related tasks, including access and key management.
  • Maintain insurance certificates and vendor documentation.

Vendor & Team Collaboration

  • Coordinate with service providers, contractors, and building management.
  • Schedule vendor visits and follow up on outstanding projects or repairs.
  • Work closely with internal teams to support office operations and workplace initiatives.
  • Help ensure a positive, safe, and efficient office environment.

Qualifications

  • 3–5+ years of office operations, facilities coordination, workplace services, or related experience.
  • Experience managing work orders, service requests, or maintenance tracking systems.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple projects and priorities simultaneously.
  • Proficiency with Microsoft Office Suite.
  • Excellent communication and customer service skills.
  • Experience in a corporate, law firm, or professional services environment is preferred.
  • Experience working with vendors, building management, and office operations is a plus.

Compensation

$70,000 – $85,000 base salary, plus overtime and bonus.
