Facilities Associate Director

Summary
Working directly for and collaborating with the Director of Facilities, the Associate Facilities Director will be operating at both an operational and strategic level within the organization. The role interacts with senior leadership and requires the judgement, perspective, and leadership capability associated with more senior roles. Responsibilities involve facilities operations, infrastructure, security, life safety, and transportation functions for an organization occupying approximately 850,000 square feet of office space in New York City, as well as facilities support for nine national & international offices.
This position will play a critical role in supporting the firm’s infrastructure, continued growth and global expansion.
The ideal candidate has demonstrated solid competency as a highly effective leader; strong facilities operational expertise; and deep knowledge of NYC building regulations.
Responsibilities
Leadership & Team Management
- Manages and mentors 13 full time facilities professionals and 2 transportation professionals.
- Effectively guides and manages contractors to meet firm needs within the cultural expectations of the firm.
- Fosters a culture of accountability, white glove customer service, collaboration, engagement and continuous improvement.
- Works cross-functionally with diverse interdepartmental teams to achieve firm-wide objectives.
- Develops team goals aligned with organizational growth strategies.
Facilities & Infrastructure Management (NYC – 850,000 Sq. Ft.)
- Ensures daily operations and maintenance of all building systems and infrastructure in New York are fully operational and that all customer expectations and needs are met in a timely manner.
- Ensures optimal performance of mechanical, electrical, plumbing (MEP), HVAC, and critical building systems working closely with the firm’s Facilities Administrator.
- Maintains compliance with NYC Local Laws, Fire Code and all regulatory requirements.
- Develops and implements preventative maintenance and capital improvement programs.
- Reads and interprets construction drawings and technical specifications.
Security & Life Safety (NY Office)
- Ensures all physical security operations, including personnel and electronic systems (CCTV, access control, alarm systems) are fully proficient, professional and meeting the needs and expectations of the firm.
- Oversees life safety programs, including fire/life safety systems, drills, compliance, and emergency response procedures.
- Ensures adherence to all local safety regulations and code requirements.
Remote Office Facilities Support
- Provides facilities oversight support and in conjunction with the firm’s Director of Facilities provide strategic support to nine regional offices, both national and international, to maintain security system standards as well as develop and maintain sustainability standards.
- Partners with regional teams to ensure consistent standards and operational excellence.
Office Expansion and Build-outs
- Supports global firm construction projects, including renovations, expansions, and new office build-outs.
- Collaborates with architects, engineers, contractors, and internal stakeholders to ensure successful project execution in keeping with firm standards.
- Transportation Management
- Oversees firm ground transportation operations, ensuring efficiency, safety, and service excellence.
- Manages vendor relationships and transportation logistics to ensure firm needs and expectations are met.
Business Continuity Plan
- Supports and collaborates with the Director responsible for Business Continuity in the development, implementation and testing of business continuity plan.
Requirements
- 10+ years of progressive facilities management experience, preferably within a professional services environment.
- Experience managing large-scale office space (500,000+ sq. ft. preferred).
- Strong knowledge of NYC Local Laws, Fire Code, and regulatory compliance.
- Demonstrated competency in reading and interpreting construction drawings and technical documents.
- Proven leadership experience managing large teams of 10+ staff members, including supervisors.
- Experience overseeing building infrastructure, security systems and life safety programs.
- Strong project management skills with global construction exposure.
- Demonstrated experience stress-testing Business Continuity Plans.

Compensation
- $165,000.00 to $190,000.00 plus bonus.
