E-Billing Specialist

Full-Time, Monday-Friday (NY: 9:30 am-5:30 pm) / (NJ: 9:00 am-5:00 pm)
Summary
Under the direction of the E-Billing Manager, the E-Billing Specialist plays a key role within the billing team by collaborating closely with Billing Attorneys, Billers and Credit Managers to ensure the accurate and timely submission of client e-billings in compliance with firm and client-specific policies and procedures. This position requires a thorough understanding of each client’s billing requirements and guidelines. The successful candidate must be able to promptly identify and escalate rejected invoices to ensure timely resolution in coordination with billing attorneys.
Requirements
- Provide day-to-day support to the e-billing team.
- Submit and post accurate information through electronic billing platforms and BillBlast.
- Obtain and provide required disbursement back up documentation.
- Ensure timely submission of e-billing invoices.
- Maintain and regularly update e-billing status reports and checklists.
- Assist in resolving e-billing rejections.
- Submit and maintain timekeeper rates on e-billing vendor sites.
- Assist with the submission of billing accruals as needed.
Accounts Receivable
- Monitor the status of submitted e-billing invoices.
- Assist in resolving outstanding and/or rejected e-bills.
- Escalate unresolved items to management in a timely manner.
Other
- Provide backup support to the E-Billing Manager as needed.
- Collaborate with the Director of Revenue, Billing Managers, Credit Managers and Billing team members as required.
- Perform other duties as assigned.
Skills, Knowledge, and Abilities
- Previous e-billing experience within a law firm is required.
- College degree preferred.
- Proficiency in Microsoft Word, Excel and Outlook.
- Experience with BillBlast, electronic billing vendor platforms, and accounting systems (Aderant preferred).
- Familiarity with LEDES billing format and electronic invoicing protocols.
- Strong problem-solving skills with the ability to work independently and escalate billing issues.
- Exceptional attention to detail, organizational skills and follow-through.
- Proven ability to manage multiple tasks and deadlines in a fast-paced, high-volume environment.
- Effective interpersonal and communication skills; ability to build professional relationships at all levels.
- Team-oriented with a collaborative mindset.
- Willingness to continuously learn and suggest process improvements.
- Flexibility to manage workload peaks during billing cycles; ability to work overtime as needed.
*For candidates meeting the requirements, the expected base salary is $80,000.00-$85,000.00, plus overtime and bonus in New Jersey and $85,000.00-$90,000, plus overtime and bonus in New York. The range provided is the salary that firm in good faith believes at the time of this posting that it is willing to pay for the advertised position. Exact compensation will be determined based on individual candidate qualifications and location.
