Summary

The Firm’s private clients practice helps clients protect and administer family wealth, and plan for the transmission of wealth to family members and charities, with sophisticated but practical tax advice integrated into confidential estate plans that reflect clients’ family, charitable and business objectives.

The Private Clients Administrative Assistant will provide administrative support to the U.S. private clients lawyers and paralegals. This role will perform a variety of administrative tasks and will be exposed to law firm operational and legal functions.

Responsibilities

  • Act as a liaison and serve as an ambassador handling calls, visitors, clients and all situations with discretion, diplomacy, enthusiasm and appropriate urgency
  • Draft cover letters and correspondences to clients, accountants, financial advisors, IRS and state tax authorities
  • Prepare and coordinate with the Office Operations team materials for mailings
  • Maintain familiarity with legal terminology, standard legal forms, procedures and processes
  • Assist with the scanning and filing of complex Federal and State estate tax returns
  • Conform original Trusts, Wills and estate documents to the required formats for execution
  • Scan, code and file original documents received from clients to be stored in our vault and to create electronic copies for our electronic filing system
  • Assist in creating, managing and maintaining electronic files for all estate and trust matters
  • Facilitate mailing and duplicating requests
  • Assist in maintaining various master lists for the group that track the status of items such as estate administration and tax identification numbers
  • Assist in processing all monthly trust and estate bank and brokerage statements that are received by the firm and need to be added to our electronic filing system
  • Coordinate meetings, calls and events, including all logistics (scheduling, catering, preparation of meeting materials, etc.)

Qualifications

  • Bachelor’s degree required
  • One to two years of administrative support experience in legal or professional services
  • Excellent time management, organizational, interpersonal, problem-solving, and written and verbal communication skills
  • Strong attention to detail and ability to thoroughly complete tasks with minimal direction and reminders
  • Ability to multitask while working in a fast-paced, deadline-driven environment
  • Strong computer skills with Microsoft programs (Word, Excel, and PowerPoint) and Adobe Acrobat
  • Experience with iManage, Chrome River, Interaction preferred
  • Ability to exercise discretion and maintain confidentiality of sensitive information
  • Willingness to accept a wide variety of tasks, can-do attitude

Compensation

The base salary for this position is $70,000 to $80,000. Actual pay is determined based on a number of job-related factors, including skills, education, training, credentials, experience, scope and complexity of role responsibilities, geographic location and performance.
