The Practice Group Coordinator provides critical administrative and marketing support to the Capital Markets Group and ancillary practices in line with the practice’s business development, marketing and thought leadership goals.
The Coordinator will prepare materials for pitches, RFPs, rankings and directory submissions, and awards submissions. The Coordinator will also manage relationships with our PR firm, various media, and ranking directories. The Practice Group Coordinator will arrange for presentations, webcasts and conferences and liaise with firm events staff as well as with conference organizers. In addition, the Coordinator will be responsible for new business administration, including conflicts resolution and matter administration. The Coordinator will have the opportunity work with a variety of professionals including attorneys in the Capital Markets and other related practices, vendors, firm staff in conference services, marketing, new business and conflicts and other areas.
Responsibilities
Media, Press and Client Relations Support
- Assist with day to day interactions with PR firms, including sending PR firms updates of presentations, events, etc.
- Scheduling interviews and meetings with reporters.
- Follow up with reporters and other PR contacts.
- Maintain day to day relationships with our media partners, such as IFLR,
- Structured Products magazine, Structured Retail Products, etc.
- Respond to client requests for presentations, articles, alerts and related resources.
Ranking and Awards Support
- Assist with the preparation of awards submissions.
- Assist with the preparation of rankings and directory submissions.
- Maintain calendar of all awards, rankings and related deadlines.
Events Management
- Coordinate with third party conference organizers and webcast providers, such as West LegalEd Center, Wolters Kluwer, Intelligize, LexisNexis, PLI, ABA, etc.
- Identify, coordinate and track speaking engagements, webinars and conference opportunities.
- Coordinate in-house Mayer Brown seminars and webinars, as well as seminars in Toronto, Israel and other locations.
- Coordinate CLE requests and gathering related materials.
Marketing Support
- Maintain the practice’s web presence, including maintaining practice page descriptions, rankings, listed publications and events.
- Maintain the practice’s blog, including posting blog posts and maintaining resources pages.
- Assist in distribution of Legal Updates, Newsletters and other thought leadership initiatives, including formatting, proofreading, and interaction with CRM team.
- Assist in compiling marketing materials, in preparing materials and documents for distribution, and in proofreading.
- Assist in maintaining, filing, and organizing marketing materials.
Administrative Support
- Assist with opening new client matters, reimbursement preparation for collateral and conferences and processing, calendaring, contact lists, file maintenance, etc.
- Ensure that team administrative needs and requests are fulfilled accurately and efficiently.
- Facilitate interaction between marketing team and others, including attorneys, staff, and non-Firm personnel. Schedules meetings, arrange conference rooms, communicate with participants, distribute materials, etc.
- Prepare vendor invoices for payment and resolve invoice-related questions.
- Communicate with vendors on product information, billing information, etc.
- Maintain vendor information and contract files.
Business Development Support
- Prepare pitch materials.
- Conduct research on prospective clients using Capital IQ, CB Insights and PitchBook.
Qualifications
Specific Technical Skills
- Thorough working knowledge / familiarity with office software and database products (Outlook, Word, Excel, PowerPoint) and Internet search functions. Reasonable typing skills with accuracy.
- Experience with formatting newsletters, presentations, etc. highly preferred.
Performance Traits
- Perfected and proven skills in organizing and multitasking. Work involves having to triage the various responsibilities, given that some duties are undertaken daily, weekly, bimonthly, annually.
- Strong reading, writing, and analytical skills, and ability to summarize with brevity research that is performed.
- Self-motivated; self-directing; and creative problem-solving to ensure meeting the expectation of requiring minimal supervision.
- Interpersonal skills necessary in order to communicate by email and telephone with a diverse group of clients, attorneys and staff and provide information with ordinary courtesy and tact.
Education/Training/Certifications
- Bachelor’s degree and evidence of strong academic performance required.
- Familiarity with event management, research and research platforms (Capital IQ, CB Insights, PitchBook), project management preferred.
- Basic interest in finance, financial services, and related regulatory developments preferred.
Job Type: Full-time
Salary: $70,000.00-$77,000.00, dependent on experience
