Coordinator, Conference Center

Reports to: Supervisor, Conference Center Services

Summary

Assist with the coordination and operations of the New York Conference Center, which includes scheduling and/or reassigning of conference rooms, troubleshooting conference room conflicts and working closely with Catering, Audio Visual, Office Services. Handle requests, such as printing, copying, shredding, ground transportation, and meals for clients in the Conference Center.

Key Responsibilities

  • Answer phones, reserve conference rooms and TSR for special events and work closely with clients regarding set-up configurations and other related requests.
  • Daily juggling of conference room conflicts and set-up configurations, including modifying last minute conference room booking details, catering, AV and Office Services requests.
  • Assist attorneys/clients with various requests, i.e., emailing and printing of documents and boarding passes, copying, shredding, pdfs, catering, and making/confirming dinner reservations.
  • Daily monitoring of overall maintenance of conference rooms, including responding to requests for cooling/heating of conference rooms.
  • Performs other duties as assigned.

  • Must have good time management skills and be able to independently prioritize tasks.
  • Excellent client service and written and oral communication.
  • Strong organizational skills and attention to detail with the ability to handle multiple concurrent tasks.
  • Ability to work well under pressure and maintain composure in a stressful environment.
  • Must be pro-active, take initiative, and be able to work in a fast-paced environment.
  • Must have experience interactive with and taking direction from people at all levels and have the confidence to approach partners, other personnel and clients.

Education & Experience

  • High school diploma or equivalent required. Some college preferred, but not necessary.
  • 2-3 years’ experience in customer service/hospitality.
  • Flexible to work outside regular business hours.
  • EMS or similar conference room software experience. 

Physical Activity/Other Miscellaneous

  • Flexible with overtime and temporary changes in schedule.

 

 

Job Type: Full-time

Salary: $60,000.00-$65,000.00, dependent on experience
