Supervisor, Benefits Administration & Well-Being

Role Summary
This position is responsible for ensuring proper administration of the retirement and health & welfare benefit programs available to global partners, U.S. paid employees (including those outside the U.S.) and retirees. The position will also be heavily involved in the firm’s well-being initiative to promote overall physical, mental, and financial health to partners and employees across the U.S.
Responsibilities include but are not limited to:
- Provide direct supervision and ongoing training/support to 3 benefits administrators to ensure operational efficiency, accuracy and compliance with government regulations and Firm policies. The benefits administrators handle health & welfare, employee retirement, and leaves of absence. The Firm has a comprehensive benefits program that includes health plans for the active and retiree populations, life and disability insurances, FSAs and commuter benefits, international travel assistance services and coverages, an employee assistance program, a backup child and elder care program, a 401(k)/profit sharing plan, and numerous other supplemental and voluntary benefits
- Ensure department’s processes are thoroughly documented and kept up-to-date
- Oversee the administration of employee leaves of absence tied to FMLA, disability and paid family leave, with a strong understanding of relevant regulations and laws (ADA, FMLA, and the various entitlements available in the states of NY, DC, TX and CA). Partner with Sr. Manager, Employee Relations & HR Compliance, as needed, to ensure compliance with laws and Firm policies
- Oversee global workers’ compensation claims. Complete OSHA’s Forms 300 and 300A, as well as any related survey requests received
- Prepare regular communications promoting the various benefit plans available, including for the on-site health center in NYC, in order to maximize participant awareness, understanding and usage
- Partner with the Professional Development team to develop and implement a meaningful strategy that aligns with the Firm’s pledge to the ABA Well-Being Campaign to improve the substance use and mental health landscape of the legal profession. Complete the annual Commitment Form describing the steps taken toward the objective in the prior year.
- Partner with the Professional Development team to create a well-being plan, which will include weekly well-being newsletter emails, as well as regular events such as in-person presentations, webinars, and physical/mental fitness activities (including ones to take place in the new on-site fitness center in NYC)
- Coordinate annual on-site events, including flu and COVID-19 vaccine administration, CPR/AED training, and health & wellness fairs
- Approve department invoices for processing and perform various benefit-related financial reconciliations for the Financial Services team
- Partner with the HR Systems team for any changes, issues and testing relating to the benefits administration component of the HR System, Workday
- Manage various Open Enrollment tasks for the active, COBRA and retiree populations – including Workday setup/testing, communications, and vendor coordination
- Complete survey requests, as needed
- Assist partners and employees with questions and issues to satisfaction in a timely manner
- Assist Manager and Director with other initiatives and projects, as needed
- Other duties as assigned
Knowledge, Skills & Attributes
- Thorough knowledge of all aspects of health & welfare and 401(k) retirement plans
- Intermediate knowledge of Microsoft Office Excel and Word applications
- Experience with Workday or other similar HR/Benefits system
- Excellent verbal and written communication skills
- Excellent organizational, problem solving, analytical and math skills, as well as attention to detail
- Ability to work independently and handle numerous projects simultaneously while also meeting deadlines in a fast-paced environment
- Ability to interact effectively with all levels of staff, partners, retirees and outside vendors
- Ability to recognize and maintain confidentiality of sensitive matters and respond effectively to such situations
Education & Experience
- Bachelor’s degree or equivalent required
- At least 7 years’ related benefits experience, with at least 2-3 years dedicated to well-being
- At least 3 years’ supervisory experience

- Flexibility to travel and work extended hours as needed
- Ability to lift and carry up to 15 lbs

Salary: $90,000.00-$110,000.00, dependent on experience
