Human Resources Assistant

Summary

Responsible for assisting with the day-to-day coordination and administration of services and activities for the Human Resources Department, with an emphasis on staffing and employment.

Primary Duties and Responsibilities

Primary
• Assists in the Business Professional recruiting process by entering applications into the Human Resources Information System (HRIS) and distributing resumes/applications to recruiters; monitors and scores typing and spelling tests administered to applicants; enters test scores into HRIS; initiates background and conflicts checks as requested; creates, maintains and closes recruiting requests; keeps job postings updated on the firm’s intranet and internet websites.
•  Performs all necessary functions in HRIS to hire, transfer or terminate employees, including creation of Employee Information Report; processes Employee Change of Status forms; distributes all paperwork to appropriate departments for processing.
•  Coordinates new hire processing, including obtaining employee identification number(s) and telephone number(s); and requesting voice mail set-up, computer equipment and password set-up for new employees; prepares reference worksheet with all necessary information.
•  Conducts first-day orientation with new employees, including obtaining necessary paperwork, providing tour of the firm and escorting employee(s) to training room and office/workstation.
•  Assists with leave of absence administration and Workers’ Compensation claims.
•  Assists with various Human Resources functions, including wellness, Business Professional appreciation and milestone events.
•  Processes Human Resources invoices for payment and mails checks to vendors.
•  Answers Human Resources requests and appropriately responds to inquiries, including verification of employment.
•  Processes expense accounts for exempt Human Resources personnel.
•  Processes notary applications and renewals, including communicating with employee, paying related fees and ordering notary stamp.
•  Maintains Human Resources files and keeps filing current.
•  Assist Human Resources Manager with the day-to-day administrative duties for all Business Professional matters.

Secondary
• Performs other duties as assigned. 

Working Conditions

    • Job is performed in a typical office environment, but is subject to time pressures and constraints, and is often dependent on input from others.
    •  Occasional overtime may be required. 

Qualifications

Education
•    High school diploma or equivalent; Bachelor’s degree preferred.

Experience
•    No previous experience required. One to two years of experience working in a Human Resources role in a law firm and/or professional services organization preferred.

Special Knowledge 
•    N/A

Technical Skills  
•    Knowledge of Windows; Microsoft Word. Basic knowledge of Microsoft Excel and PowerPoint preferred. Familiarity with HRIS a plus.

Attributes
•    Excellent oral and written communication skills.

Assessments  
•    Must score 76 or higher on Firm’s clerical spelling test; must score 40 wpm with a 2% or less error rate on the Firm’s clerical typing test.
