Legal Personnel Coordinator

Responsibilities
- Coordinate details related to the onboarding of lateral associates and international attorneys into the Firm, including the collection of paperwork and preparation of orientation schedules and materials.
- Maintain personnel records in Workday; responsible for processing changes in attorney employment status, hiring, terminating, and uploading relevant documents into Workday; process employment verifications.
- Expense tracking on group budget and processing relocation expenses, bar exam expenses, and other Legal Personnel expenses and reimbursements in Chrome River.
- Assist with set up of Associate and Counsel annual appraisal cycles in ViEval, monitor the status of completion and follow up with practice groups; create individual review files for delivery to practice groups.
- Work with First Year Associate onboarding team on orientation planning and preparation; process reimbursements; maintain First Year Associates spreadsheet.
- Work with coordinators of Transactional Rotation program on scheduling of reviews and mid-rotation check-ins.
- Liaise with immigration counsel to obtain necessary work authorization for associates; track all associates who are on visas; maintain immigration and Public Access files.
- Maintain the Legal Personnel intranet site on SharePoint.
- Other responsibilities as assigned.
Qualifications
- A Bachelor’s degree and 3 or more years of relevant experience or equivalent combination of education and work experience.
- Prior law firm experience strongly preferred.
- Experience with ViEval and Workday a plus.
- Strong computer skills, particularly Word, Excel and Outlook required.
- Excellent organizational, administrative and interpersonal skills.
- Must be detail-oriented.
- Positive, flexible attitude; team player.
- Must have strong oral and written communication skills in order to effectively interact with attorneys.
- Must be flexible and available for overtime as needed.
