Supervisor: Assistant Managing Attorney
Summary
The Managing Clerk will be a key member of the Managing Attorney Office and will work closely with the Assistant Managing Attorney providing litigation support globally to the firm’s attorneys, legal analysts, litigation assistants and the rest of the legal professional staff. This will include advising on statutory rules, court rules and procedures, litigation papers, coordinating for service and electronic filing of papers, and overseeing the comprehensive litigation calendaring services to deliver best in class services to clients while mitigating risk to the firm. The successful candidate will have extensive knowledge of both state and federal court procedures and electronic filing expertise.
Primary Responsibilities
- Manage litigation and other deadlines for all offices globally via Compulaw
- Assist legal staff to understand litigation nuances and the interplay between federal, state, and local court rules
- Disseminate all knowledge of new statutory and court rules and procedures as they relate to our practices
- Maintain firm-wide court calendar and litigation docket Monitor the courts, court websites, as well as various on-line services for decisions, opinions and developments in all pending matters
- Assist Firm attorneys with court filings and service of process to ensure that they are timely and in compliance with court rules and procedures
- Provide electronic and paper court filing services as well as other process
- Provide in-depth daily quality review and auditing of all firmwide calendar entries
- Work with appropriate legal staff to accurately calendar client deadlines and identify gaps in knowledge which require immediate and/or further training
- Develop policies, procedures, and best practices to ensure efficiency and quality work product from legal staff
- Conduct all CompuLaw trainings on a global level including onboarding and one-on-one training sessions that focuses on proper utilization of CompuLaw and calendaring best practices
- Collaborate and communicate effectively and efficiently with various firm leadership, attorneys, and support staff
- Provide support to the MAO Services team including advising on court rules and procedures
- Collaborate with the Assistant Managing Attorney on processes and implementation for all firm compliance functions
- Create and maintain all training materials including department manuals, training videos and content for the intranet
- Ability to design and circulate specialized high-level weekly reports to directors, attorneys, and staff
- Manage the department budget
- Strategic promotion of cross-utilization of the calendaring system to provide deadline management support for internal firm departments (i.e., Operations, Finance and Attorney Admissions)
- Conducts all attorney new hire orientations including training on the calendaring system department policies and procedures and annual MyView training for attorneys and legal staff
Requirements
- B.A. from an accredited college or university
- Minimum 5-7 years’ experience as a Senior Litigation Docketing Specialist/Analyst or Docketing Manager
- JD preferred but not required
- Working knowledge of civil litigation in Federal and State Courts, with a specific emphasis on New York state courts, legal procedures, terminology, and court rules is required
- Extensive experience with CompuLaw is required
- Knowledge of audit and quality review processes preferred
- Possess strong analytical skills with exceptional attention to details and accuracy
- Proactively follow through and demonstrate ability to anticipate and address business needs
- Strong organization, prioritization, and multi-tasking skills in a fast paced, high pressure environment
- Demonstrate a strong work ethic and self-motivation with a desire to take initiative
- Possess excellent communication (written and verbal) and interpersonal skills, with an ability to exercise a high degree of professionalism, diplomacy, and confidentiality in interactions with all levels of the organization
- Ability to collect, organize, analyze, and efficiently present significant amounts of information
- Highly adaptable to a fluid and ever-changing work environment
- Strong proficiency in MS Office required
