Responsibilities

  • Company mail management – retrieving, reviewing, scanning, filing, and directing to appropriate recipients
  • Interacting with prospective vendors and perform vendor onboarding tasks and tracking
  • Completing data entry tasks and quality control reviews of vendor records and information
  • Maintaining company records, including agreements, policies, procedures, forms, filings, and other information
  • Covering calls and meetings, note-taking, tracking to-dos, providing back-up support to teammates
  • Legal billing management tasks, including intake, data entry, payment tracking, and allocations
  • Electronic signature support, including DocuSign management
  • Printing and scanning documents that require wet-ink signatures and notarizations
  • Licensing support and tasks for obtaining and maintaining company licenses (brokerage, notary, attorney, etc.)
  • Running redlines, proofreading, formatting, updating templates, and maintaining form library
  • Preparing notices, letters, memoranda, and other internal and external documentation
  • Performing or supporting miscellaneous organizational projects and tasks

Qualifications

  • Bachelor’s degree, plus minimum of one to three (1-3) years in positions requiring administrative, data-entry, internal and external communications, recordkeeping, and/or legal and compliance tasks
  • Proficient in Google Suite of applications, Microsoft Office applications, Slack, Zoom, and similar software
  • Excellent writing, research, communication, critical thinking, organizational skills, and attention to detail
  • Self-starter, with ability to work efficiently and independently
  • Enthusiastic, eager to learn, and willingness to be creative, and flexible
  • High ethical and professional standards, willing to ask questions and raise concerns
  • Team-first attitude, accountable, highly collaborative, supportive team member
  • Licensed Notary Public would be a plus but it not a requirement for the position

Compensation and Benefits

  • $65,000-$85,000, depending on experience
