Events Director

A Global Law Firm in New York is seeking an Events Director who will be responsible for all aspects of Firm events, including project management, finances and budgeting, contracts, timelines, staffing and vendors. Working with various groups, the Director will lead the strategic development and creation of a vision for firm-wide, departmental, partner and client events, including functions hosted by partners, operations team members, and in some cases, clients and colleagues of the firm.  This role will report to the Director of Office Operations and is based in the New York office.

Responsibilities

  • Overseeing the strategic events program, including client events and retreats, legal recruitment events, firm diversity events, internal lawyer and departmental events, professional development training seminars and CLE events, partners events, firm-wide annual events, and other functions
  • Working closely with partners, practice group heads, and key stakeholders such as Business Development, Diversity, Equity & Inclusion, Legal Personnel, Legal Recruitment, Professional Development & Training, and other internal departments to lead the planning of innovative events that align with client and business needs
  • Leading and taking responsibility for all aspects of firm events, including positioning the Events Department as the lead point persons with partners and other stakeholders on events, developing and keeping current detailed project plans for each event, regularly keeping key stakeholders apprised of progress and developments, managing event support provided by various operations team members, and responding to partners and other stakeholder requests in a timely manner consistent with firm expectations.
  • Managing coordination and execution of logistics for events including site selection, budget development and maintenance, contract negotiation, food and beverage, audio-visual setup, creation of invitations, invitation list development and registration management, including the firm’s email marketing system and managing invitation responses, and branded promotional items; collaborating with in-house counsel when appropriate
  • Collaborating with operations departments (including conference services, food service and catering, graphics, security, transportation, and travel services ) to ensure all event logistics are executed in a sophisticated and flawless manner
  • Making recommendations for new in-person and virtual events
  • Keeping abreast of marketplace trends related to venues and vendors to provide relevant and innovative ideas and solutions; maintaining excellent working relationships with venue contacts and vendors
  • Working closely with stakeholders to provide SWAG gifts related to events and client needs, as well as working closely with partners and others to source Broadway and sporting event tickets for client development needs
  • Procuring and maintaining a new database/software program as a depository for details related to all events, as well as maintaining the Firm Events departmental budget, annual forecast requirements and SWAG inventory
  • Leading and managing the firmwide events team; ensuring the team follow best practices for events management; raising the visibility of the department
  • Managing all event-related vendors and consultant relationships to ensure projects remain on deadline and are executed with the highest quality service and support.
  • Other key projects as needed

Requirements

  • Bachelor’s Degree
  • Minimum of 15 years’ experience in a successful event planning role in a professional or financial services environment; marketing and law firm experience a plus
  • Strong managerial experience and proven ability to lead, coach, inspire and organize a team
  • Outstanding ability to inspire confidence, respect and trust across all levels of the firm and to create a team environment where ideas can be shared, questions can be asked and individuals are accountable for their own actions
  • Outstanding ability to motivate others across the operations team and collaborate well to produce a successful event
  • Outstanding communication and interpersonal skills and ability to work effectively with senior management, partners and firm clients
  • Outstanding project management skills and executes projects in a manner that keeps all stakeholders aware of progress, developments, challenges and opportunities
  • Strong attention to detail and detail-orientation in all aspects of responsibilities
  • Extensive experience in developing, managing and maintaining budgets
  • Well-established venue and vendor relationships and extensive knowledge of NYC’s restaurant and entertainment industry
  • Works well in a fast paced environment with shifting priorities to meet time-sensitive deadlines, as well as manage multiple projects simultaneously
  • Outstanding initiative and problem-solving capabilities with a resourceful and driven attitude
  • Must be willing to work weekends and evening hours at event venues to ensure logistics are running smoothly
  • Must be willing to travel outside of New York as needed to support all offices (generally domestic and Canada) and off-site retreat needs that may occur throughout the United States and Canada

Salary: $180,000 + based on experience
