Client Events Director

Summary

The business development department of this Global Law Firm is excited to launch its dedicated client event team with the addition of a seasoned event professional. As the Client Events Director, you will build a team to meet the increasing demand for top-shelf client experiences. Whether an intimate client dinner, a seminar/webinar or a large-scale offsite, you and your team will manage the firm’s client events from concept through execution to post-event communications and reporting.

The client events team will collaborate regularly with practice development, marketing and communications colleagues as well as the firm’s internal events team and partners to deliver experiences consistent with the brand. Ideal candidates are creative, process and detail oriented, and comfortable managing multiple events and time-sensitive deadlines concurrently. You have a proven track record for driving innovation and the ability to seamlessly pivot to meet shifting priorities. You keep current on New York’s restaurant and venue/hotel offerings, event technology and happenings in and around the city, and can easily bring the same savvy to events outside of New York.  You will actively contribute ideas, and execute and expand upon existing organizational tools, processes and policies, including budget management, all while providing an outstanding client experience.

Responsibilities

  • Lead premier client event planning and execution efforts across firmwide practices, from request through execution and post-event reporting, including in person, virtual and hybrid client events (e.g., dinners, seminars, webinars, offsites, retreats and other client experiences, etc.)
  • Organize and manage end-to-end event details, including but not limited to staffing arrangements; registration; transportation; hotel room blocks; gift/swag, floral and menu selection; audio-visual specs; and other event related logistics as required
  • Produce pristine run-of-show and process documents in support of all events
  • Provide on-site support when necessary to ensure the smooth execution of all events
  • Lead event technology efforts for in person and hybrid programming, including in-depth knowledge of full production process and audio-visual requirements
  • Lead contract negotiation, and manage vendor relationships and service levels
  • Generate knowledgeable venue options and recommendations
  • Provide guidance and direction on invitation and material design
  • Manage event RSVP tracking and reporting
  • Liaise with the firm’s Continuing Legal Education (CLE) team to secure credit where appropriate
  • Manage post-event communications and reporting
  • Maintain event budgets
  • Deliver post-event debrief/surveys and generate feedback reports

Requirements

  • A four-year degree is required
  • 10+ years’ experience in event planning and management in a fast-paced professional services organization is preferred
  • Law firm or other professional service experience are a plus
  • Technologies/Software
  • Experience with InterAction or an equivalent Contact Relationship Management (CRM) system is required
  • A solid command of several different software applications to produce high-end, professional work product, including extensive experience in Cvent (or similar event software), PowerPoint and Excel

Work environment

This role requires interaction with firmwide attorneys and administrative personnel on a regular basis, as well as communicating information to various groups within the broader marketing/business development department. The successful candidate will possess outstanding proofreading and communication (oral and written) skills, and the ability to multitask and prioritize in a fast-paced environment with meticulous attention to detail and a professional demeanor.

Compensation

Based on experience, targeting $200,000
