Summary
The Billing Analyst works closely with the Billing Team, clients, attorneys and their secretaries in the preparation of client billing. This role responds to Partner billing-related inquiries accurately and timely, responds to client inquiries and maintains a high-standard level of accuracy in preparing and reviewing billing analysis and research. The Billing Analyst maintains various report schedules weekly, monthly, quarterly and annually, as assigned, and is expected to interact professionally with employees of all levels.
Responsibilities
- Coordinates and maintains billing portfolios for assigned Billing Attorneys and/or clients;
- Maintains the billing system’s data (i.e., new matters, timekeepers, rates, time entries, etc.);
- Responsible for interpreting and processing Partner billing instructions into the system;
- Reviews time entries to ensure proper matter coding, billing rates, compliance with client guidelines and/or e-billing guidelines and missing time;
- Prepares client bills, including narrative description bills, as well as detailed time/cost bill formats directly out of 3E (Billing system);
- Ensures that all analysis is proofread and accurately presented;
- Maintains the specifics of particular billing arrangements between clients and Partners;
- Generates and delivers the Time and Costs Reports (Proformas) to Partners, as needed;
- Follows up on rejected invoices and ensures proper submission;
- Answers client billing and payment queries timely and accurately, including attending to monthly client accrual requests;
- Assists with cash receipts, including researching cash receipt problems;
- Communicates effectively with lawyers and non-legal staff on all varieties of billing related queries;
- Responsible for maintaining several reporting schedules (i.e., daily weekly, monthly, etc.);
- Attends to the preparation, under direction, of monthly, quarterly and annual billing related financial reports for Partners;
- Submits e-bills to the various e-billing sites and monitors status through payment;
- Escalates any billing/e-billing related issues to the Billing management team;
- Trains co-workers on rotated duties, as needed; and
- Performs other duties, as assigned.
Qualifications
- High School diploma required; Associate or Bachelor’s Degree preferred;
- At least 2-5 years of legal billing experience;
- Experience with various e-billing systems and vendor requirements;
- Working knowledge with legal billing software database structure (preferably Elite or 3E);
- Advance knowledge of Excel spreadsheets and Word document usage;
- Working knowledge of LEDES electronic files;
- Experience with various e-billing vendors and eBillingHub;
- Superior verbal, written and interpersonal skills needed to communicate clearly and concisely with senior management and with Partners and clients;
- Must be highly organized and able to handle multiple tasks efficiently;
- Strong analytical skills, including excellent detail-orientated proofreading skills;
- Ability to adapt to cyclical periods, peak work loads, new assignments and work independently to meet deadlines;
- Excellent multitasking skills;
- Superior customer relations/service skills; and
- Availability to work overtime, as needed.
Compensation
This position is located in the New York office, and currently has a hybrid work schedule, but that is subject to change. The estimated salary range for this position is $65,000 to $90,000 plus overtime. The actual salary offered will be based on a wide range of factors, including relevant skills, training, experience, education, and where applicable, licensure or certification obtained. Market and Firm factors are also considered.
